The Role:

This role supports the project delivery and business operations of the Asset Strategy and Short Breaks Teams, ensuring that regular business runs smoothly and undertaking specific project tasks.

You will manage schedules of meetings, prepare and circulate agendas and related papers, take accurate notes and minutes, and ensure actions are followed up.

In addition, you will liaise directly with consultants or professional colleagues to complete reports or gather data. You may be asked to visit other buildings and offices for this purpose.

About You:

Experience of dealing with a varied and constantly changing workload, familiarity with computerised systems, and the ability to collect accurate and relevant information required to complete tasks is a key part of the role.

You will need to have a high standard of written English and be able to communicate clearly with staff and external colleagues at all levels.

Role Requirements:

  • Manage schedules of meetings, including room bookings across multiple sites, inviting and following up attendees, to prepare and circulate agendas and related papers and reports, arranging catering/refreshments if required, to attend meetings as required (including off-site locations) and take accurate notes and minutes, and ensure actions are communicated and monitored.
  • Produce project plans for the Short Breaks Service including confidential information relating to staff and service users.
  • Liaise with external and internal project managers delivering building development projects at schools and Children’s Services premises to ensure reports and plans are completed and updated in a timely manner.
  • Provide support in the drafting, editing and formatting of Briefing Notes, standard reports, Key Decision and Executive Decision Reports to Cabinet meetings and senior officers.
  • Gather information from multiple sources and carry out research as required especially with the DfE and other Government, local authority and advisory organisations on school building and school place planning matters.
  • Monitor and process purchase orders and invoices, set up new suppliers, investigate financial queries using the Council’s financial system; produce Budgetary Control reports; manage the Purchase Card system for all team members, investigate and resolve queries.
  • Provide general administrative support to facilitate the day to day business of the Teams and other teams as requested by the Head of Asset Strategy and Head of Short Breaks Team.

We work in partnership with Hampshire County Council (HCC) who deliver many transactional services on our behalf. Although most communications will be from HCC, all selection and appointment decisions will be made by RBKC. Certain services are shared across more than one Council area to nearby neighbouring Authorities. This enhances delivery and reduces costs.
