Adopt East is a Regional Adoption Alliance between 8 local authorities (Norfolk, Suffolk, Essex, Hertfordshire, Bedford Borough, Luton, Thurrock, Southend), 2 voluntary adoption agencies (Adoption Plus, Barnardo's) and Adoption UK.
The Adopt East Exec Support and Regional Coordinator will provide executive assistant support to the Executive Head of Adopt East and coordination of the regional work of Adopt East. This includes servicing the 3 levels of Boards, through which Adopt East is governed plus organising and attending other regional events, activities and meetings for professionals, adopters and children and young people.

You will be
  • Responsible for providing executive assistant support to the Executive Head of Adopt East.
  • Support the three levels of Adopt East boards, organising, collating and dispatching agendas and papers, note taking during meetings, maintaining decision trackers and work plans and liaising with colleagues across the Alliance to review and follow up actions.
  • Gather, compile and analyse data to draft communications, reports, memos, correspondence, PowerPoint presentations, spreadsheets, charts/flowcharts, draft website content.
  • Answering telephone enquiries and emails
  • Manging and monitoring social media content on behalf of Adopt East brand using a number of channels.
  • Contribute to the coordination and organisation of a range of local and regional events for Adopt East.
  • Support regional activities such as information sessions, training, craft days, quality assurance activity and profiling events. Internal/External Meeting Support includes meeting room reservations, calendar invitations, meeting room needs (food, beverage, and technology support), greeting attendees, helping to facilitate.
  • Specific individual and shared targets and objectives are defined annually within the performance management framework.

  • Educated to NVQ Level 3 or equivalent by experience.
  • Evidence of continuing professional development.
  • Evidence of the ability to fulfil the requirements of the role.
  • Excellent interpersonal and communication skills, adaptable to all levels of the organisations, with the experience, confidence and credibility to communicate complex or specialist information to a non-specialist audience, facilitate workshops and deliver presentations. Exemplary customer care.
  • Strong time management, administration, planning and organisational skills with a focus on accuracy and attention to detail, ability to work flexibly, sometimes under pressure, and to act on own initiative.
  • Highly proficient in MS Office products and tools (Outlook, Word, Excel, PowerPoint, Skype), Adobe Acrobat with excellent keyboard skills.
  • Ability to prioritise, completion of assigned tasks within agreed timeframe.
  • Evidence of experience of liaison with stakeholders and public relations.
  • Awareness of the need for confidentiality as you will come into contact with high levels of personal and commercially sensitive business information.
