Job Purpose

Working in the busy Ugobus service the Administrator will provide high-quality support to a team responsible for providing transport to a diverse range of Essex residents.

This role will ensure transport provision is arranged, as appropriate to differing customer needs. Responding to customer transport requests is key to the role whilst undertaking general administration duties to ensure the effective delivery of the service.

Educated to GCSE level including Maths and English, able to communicate effectively and work collaboratively with colleagues and both internal and external stakeholders, delivering great service and engaging with others.

Service/Functional Accountabilities

Provide support to the transport term by ensuring transport planning is cost effective, maximising the use of existing transport to offer value for money service across the county and maximise existing vehicle usage.

Responsible for managing all transport bookings to ensure all requests, from both internal and external customers, are acted on in a timely and efficient manner.

Work collaboratively with area co-ordinators across the county in the provision of transport to ensure specific passenger needs are met whilst exploring alternative solutions in order to be able to meet differing customer requirements.

Responsible for working directly with private passengers in order to understand requirements, organise transport.

Responsible for ensuring transport payments are processed e.g. banking cash/cheques received, setting up new payments and/or chasing payments with private customers in a prompt and efficient manner.

Responsible for identifying training needs of team members and to organise the appropriate training to support the service requirements.

To support transport teams by ensuring all records, including passenger details, are maintained and accurate together with adequate and robust records of relevant, statistical information.

Responsible for recording key vehicle information and maintaining logs to monitor vehicle defects.

Specific individual and shared targets and objectives are defined annually within the performance management framework.

Skills, Knowledge and Experience

  • Experience with Microsoft Office.
  • Demonstrable experience of working within administration departments in other large organisations.
  • Evidence of great customer service skills, in particular, ability to adapt and work with passengers with special needs.
  • Ability to work collaboratively within teams.
  • Excellent telephone skills.
  • Good communication skills.
  • Data entry experience.
  • Invoicing/payment control experience.
  • Ability to work under pressure and remain calm.
  • Knowledge of transportation is advantageous but not essential.
  • Educated to GCSE level (including English and Maths at Grade C or above) or equivalent by experience.

This position will initially, in line with current government guidance be based from home, with an expectation of being home based for the foreseeable future. However, if / when government guidelines change the role may then revert to being office based (County Hall, Chelmsford) whilst retaining some flexible working options.

Please note that Essex County Council has determined that the off-payroll working rules will apply to this assignment and where a worker elects to provide their services through an intermediary (such as a personal services company) then income tax and primary national insurance contributions will be deducted at source from any payments made to the intermediary.

As part of employment with Essex County Council should your role require a DBS check you will be required to register with the DBS update service. The DBS update service ensures all registered DBS certificates are kept up to date and allows authorised parties to view the status of your certificate.
